Introduce an automated system in LifeLoop to 'deactivate' staff users after a specified period of inactivity, with customizable settings and notifications.

What is the challenge or problem or you are trying to solve?

Problem: It's a struggle to audit and manage staff effectively in LifeLoop due to users that remain in LifeLoop that should no longer be active. It is challenging to keep track of which staff members are actively using the platform and who are not.

Objective: Automate the deactivation of staff LifeLoop login (not deleting entirely) after a specified period of inactivity (e.g., 3 months) to ensure that only those that are active remain active, making management more efficient.

What is the impact?

Improved Efficiency: Reduces the time and effort required to manually audit and deactivate inactive users.

Enhanced Security: Limits access to the platform for inactive users, potentially reducing security risks.

Streamlined User Management: Simplifies the process for administrators to manage active and inactive users.

Describe your idea

Automation Toggle: Introduce a toggle option in LifeLoop's admin settings that allows organizations to enable or disable the automated deactivation of inactive staff users.

Inactivity Period: Define a period of inactivity (e.g., 3 months) after which staff users are automatically deactivated.

Notifications & Permissions: Implement a permission that alerts those that can manage staff, as well as a notification that alerts them before they are deactivated due to inactivity, giving them a chance to let the staff member know to login to remain active.

Reporting Feature: Develop a reporting feature that provides administrators with a list of users last login, when they are approaching the inactivity threshold and those who have been deactivated.

Customizable Settings: Allow organizations to customize the inactivity period and other related settings according to their specific needs.

Note for an addition idea to go with this:

  • Having an "on leave" area for situations such as maternity/paternity leave or sabbatical to avoid disruption to these specific user accounts.
